The task: capture information where it happens
On a construction site, information takes different forms: a short note, a photo, dictation or a submitted file. To support later work, it needs to be connected to a project and a specific task. SiGeKo is our own product for joining capture, documentation and collaboration in one application.
The web app brings together inspections, defects, positive observations, site diaries, safety and health plans and training records. The update adds AI assistance and shared team workflows. A central design question is how to guide people from an initial observation to a record they have deliberately reviewed.
AI capture: propose, edit and select
The new shared capture workflow on the web accepts text, dictation, photos and files. AI can use these inputs to prepare proposals for relevant project records. The preview shows editable information, source references and open questions. Users review the content and select the entries they want to apply.
The web application uses OpenAI for these AI features. A structured response is still only a proposal. Missing information needs clarification, and suggested values need review. Only explicit application connects the selected proposals to the project workflow. The new AI assistance described here refers to the web app.
Prepare documents and review versions
Assistance also supports drafts for safety and health plans and training content. Source-based project briefings bring together information from deliberately selected project areas. This helps users trace a statement back to its context and recognise gaps before making their next decision.
For submitted documents, the preliminary review is tied to a selected version; another version can be chosen for comparison. Findings can be applied as initially unpublished comment drafts. The responsible person checks and publishes the feedback. Professional approval, confirmation of actual training delivery and completion of a review remain human tasks.
Collaboration with clear responsibilities
Separate organisations, personal team accounts and roles structure collaboration. The company portal gives explicitly invited company contacts access to their assigned projects. They can submit documents and respond to published tasks or defects. Saving a project contact does not automatically invite that person into the app.
These distinctions are part of the interface design. People need to understand which information they can edit, which items are still drafts and which feedback has already been shared. Navigation, permissions and understandable status information work together to support those decisions.
