Make recurring questions easier to answer
Prospects want to know whether your offer fits their situation, what information a consultation requires and what happens next. Where those questions repeat, an AI chatbot can make the first step easier and help prepare an enquiry.
We plan chatbots as part of customer communication. That includes a suitable knowledge base, clear answer boundaries and a handover to a person. A chat window alone cannot fix outdated information or unclear responsibility behind the scenes.
Where a chatbot may be useful
The service suits businesses receiving recurring questions about offers that need explanation. A strong initial area is bounded and has current, approved answers. Examples include available formats, prerequisites or the steps involved in working together.
If every enquiry requires extensive individual advice, the bot may be better used to collect information and prepare a conversation. Binding commitments, sensitive cases and expert judgements need an appropriate personal handling route. We define that boundary around your actual offer.
What we build together
The project structures approved knowledge, develops conversation openings and defines when the bot answers, asks a question or transfers the enquiry. Technical implementation follows the agreed channels and systems. Where required, the enquiry and its context can be passed to a CRM or responsible team.
You receive the agreed solution, a knowledge-maintenance description and results from the defined checks. We document who updates information and how unanswered questions are reviewed. Additional channels, languages and integrations are explicitly described in the proposal.
How we develop useful conversations
We begin with common questions and current answers. Next, we bound the assignment and define handover rules. Suitable examples are used to assess clarity, supporting information and behaviour when knowledge is missing. Review includes the complete handover, not merely the chatbot’s final sentence.
In an explicitly hypothetical journey, someone asks about an English-language AI workshop. The bot answers approved questions about format and collects necessary details. For a specific date or individual proposal, it transfers the context to the team. The prospect should not have to explain the entire situation again.
Requirements and cost factors
We need current information, named subject-matter owners and a working route to personal contact. The data handled and its required retention are reviewed for the particular use. Outdated or contradictory source material should be resolved before introduction.
Effort depends on knowledge scope, channels, languages, integrations and support requirements. Model or platform charges may also apply. The proposal assigns these components clearly. We do not promise an answer to every possible question or a universal percentage reduction in workload.
Common questions
Can the chatbot support English and German?
Both can be included in the agreed scope. Knowledge and conversation flow are checked for each language. Automatic translation alone does not replace review of important service statements.
What happens when the bot does not know?
The process includes a clear question or handover for that situation. Missing information should not be replaced with invented details. Responsible people can then address recurring gaps deliberately.
Can it connect to our CRM?
That depends on the available interfaces and required functions. We assess feasibility and define the connection as part of the project. Lead automation supports subsequent handling, while tool integrations connect the systems.
